Building a Custom Time Tracker: When Simple Is Better Than Feature-Rich

I’d been using Toggl for years. It worked great—until it didn’t. Like many SaaS tools, Toggl kept adding features. New dashboards, team collaboration tools, advanced analytics, AI suggestions. Every login greeted me with another modal explaining features I’d never use. Buttons kept moving as they incorporated new functionality. The UI kept getting busier.

I’m a founder and freelancer. I need to track time, round it up for billing, and occasionally export for invoicing. That’s it. The growing complexity was adding frustration to my day, and I was paying for features that just got in my way.

So I asked Claude what the best way to deal with this was. 

Here’s how it went

I fired up Claude and explained my situation: I needed something simple. Track time, assign clients and jobs, round up to 15-minute increments for billing, and mark jobs complete. No cloud sync, no teams, no analytics dashboard. Just the essentials. Claude first tried to talk me into just keeping Toggl, but I had been frustrated too many times and I wanted to look at my options. Then Claude said the magic words “I could build it for you.” That was like offering me chocolate mousse and whipped cream. How could I say no?

The first version took about 10 minutes to build. (10 MINUTES!!!) A single HTML file with:

  • Add clients and jobs
  • Start/stop timer with running display
  • Time entries that automatically round up to 15 minutes
  • Mark jobs as complete
  • Everything stored locally in the browser

I opened it, and there it was—a working time tracker. Clean, fast, and exactly what I needed.

The “Just One More Thing” Phase

Of course, once you have something working, you realize what’s missing. Development is an iterative process and it was so simple to add things that I kept asking for additions:

“I need to edit and delete things.” What if I mistype a client name? What if I start a timer by accident? We added:

  • Edit/delete time entries
  • Edit/delete jobs
  • Edit/delete clients (with warnings about cascading deletions)

“I need to add notes.” I need to remember what I worked on. We added a notes field that shows up when you start a timer or manually add time.

“What about when I forget to start the timer?” Added a manual time entry form. Pick a job, enter start/end times, add notes. Perfect for backfilling forgotten time.

“I need to export for billing.” Two CSV export options:

  • Job summary (totals by job for invoicing)
  • Detailed entries (every time entry with notes for records)

“Can I see my weekly/monthly totals?” Added summary cards showing hours worked this week, this month, and number of active jobs.

Making It Actually Usable

After all these additions, I had a powerful time tracker, but the interface had gotten cluttered. The problem wasn’t the features—they were all useful. The problem was that I didn’t need them all the time.

This led to the most important design insight: put the frequent stuff front and center, and hide everything else behind collapsible sections.

We redesigned the entire UI:

Always visible (top of screen):

  • Active timer (when running)
  • Jobs and options
  • Start/stop buttons

Tucked away in collapsible sections:

  • ➕ Add Client
  • ➕ Add Job
  • ✏️ Manual Time Entry
  • 👥 Manage Clients

Small summaries:

  • Week/month summaries
  • Export buttons

The result? The app takes up minimal screen space when idle, but everything expands when you need it.

The Finishing Touches

I wanted this to live on my Mac desktop like a real app. I ditched the icon that Claude came up with in favor of one from NanoBanana. It’s a fun steampunk-style icon (because why not?) with brass tones, gears, and Victorian styling.

To set it up:

  1. Save the HTML file to my desktop
  2. Create an alias
  3. Apply the custom icon (copy the PNG, paste it onto the alias icon in Get Info)
  4. Rename to “Time Roundup”

Now I have what looks and feels like a native app, but it’s just a single HTML file. 

What I Learned

1. You don’t need a SaaS subscription for everything. My time tracker is a single file. No monthly fee, no feature creep, no privacy concerns. It does exactly what I need and nothing more.

2. Progressive enhancement works for personal tools. Start simple, add features as you discover you need them. Each addition was motivated by actual use, not speculation about what might be useful. And if I want to add something, all I have to do is ask.

3. UI minimalism comes from smart hiding, not feature removal. I didn’t compromise on functionality. I just made sure the interface matched my usage patterns—simple most of the time, powerful when needed.

4. Local-first has real benefits. Everything stores in my browser’s localStorage. No server, no sync, no lag. It opens instantly and works offline. For a solo user, this is perfect.

5. Building custom tools is more accessible than ever. The whole thing—from concept to finished product with custom icon—took maybe two hours of back-and-forth conversation. (2 HOURS!!!) That’s insane. I don’t code. I just described what I needed, and we iterated until it was right.

Who is this for?

It’s not for everyone. I built this for myself. If you need team features, automatic sync across devices, or deep analytics, stick with Toggl or Harvest. But if you’re a solo user who’s tired of feature bloat and subscription fatigue, building your own tool might be worth considering.

The irony? I built this because Toggl got too complicated. Now I have something simpler than Toggl was when I first started using it years ago. Sometimes the solution to “this got too complex” isn’t finding a simpler tool—it’s building one that stays simple by design.

Try It Yourself

The beauty of this approach is that you can customize it endlessly. Want different rounding intervals? Change one number. Prefer different colors? Update the CSS. Need hourly rate calculations? Just ask Claude (or one of the others).

Your tools should work for you, not the other way around. Sometimes that means building exactly what you need, nothing more, nothing less.

Gemini wanted me to take it for a spin by asking it to create a vintage postcard of Paris. I was not going to make it that easy, so I asked for a vintage postcard of my home town. Though frustrating, as my genius, drunk friend AI often is, I am impressed and give it higher marks than Chat. It didn’t constantly redraw the image from scratch which makes it really hard to dial in a useable output and, once I figured out how to explain what I wanted (It felt a bit like talking to my dog.), I’m impressed with the result. Here’s my journey.

Sheesh—ChatGPT doesn’t understand women either

AI has a big old blind spot

I was thinking about doing a post about the key variables needed to create a really targeted customer profile so, of course, I headed over to ChatGPT to see what the robots say. The list below does a good job of laying out the basics, with one glaring omission—there was nothing about whether the customer likes browsing or just buys. That’s actually a pretty huge behavior to miss. Under Demographics, in the gender section, it does mention that shopping behaviors often vary by gender, but it doesn’t explain how they differ, or why. 

Take a moment to ponder that. Think about how differently women and men shop. I mean, It’s not that I NEVER see a man in Home Goods, it’s just that I see WAY more women. Women love to browse, shopping is a hobby, and women can have a great shopping day without buying anything. I guess it’s like fishing, you don’t need to catch anything to enjoy the experience. 

Okay, so we all know that AI isn’t infallible, but since most of AI has been designed by men, there’s a pretty high likelihood that AI doesn’t understand women any more than men do. This is creating a huge blindspot for marketers who want to harness the power of AI if their customers are women.

1. Demographics

Age: Online shopping preferences vary widely by age, with younger generations often more digitally engaged and older generations having different spending patterns.

Income Level: Income affects spending power and can guide product pricing and promotional strategies.

Gender: Especially relevant for stores targeting specific products, as shopping behaviors often vary by gender.

2. Geographics

Location: Country or region is critical for understanding shipping logistics, tax considerations, and seasonal marketing. Some locations may also have specific cultural or legal considerations.

Urbanicity: Online shoppers in urban areas may prefer fast shipping, while suburban or rural audiences may respond better to offers that mitigate shipping times or costs.

3. Psychographics

Lifestyle & Interests: Online stores can benefit significantly from knowing customer interests (e.g., fitness, fashion, eco-consciousness) to personalize product recommendations, tailor marketing campaigns, and choose relevant social media channels.

Values: Knowing if customers prioritize things like sustainability, luxury, or budget-friendly options helps in positioning and marketing.

4. Behavioral Factors

Buying Behavior: Understanding frequency, timing, and average order value is essential for promotions and email marketing, especially to target repeat purchases or maximize average cart size.

Shopping Preferences: Knowing if they prefer mobile shopping, desktop, or specific payment methods can guide user experience optimization.

Brand Loyalty: Identifying brand loyalty levels helps in determining how much to invest in retention efforts versus acquisition strategies.

5. Technographic Variables

Device Usage: Knowing if the audience shops mainly on mobile or desktop helps optimize the store for the right device experience.

Preferred Channels: Essential for targeting the audience on the right platforms, whether it’s social media, email marketing, or search engines.

Digital Engagement Level: Some customers engage more with email, while others are more active on social media or have a high trust in online reviews. This affects where and how to market.

6. Needs & Pain Points

Convenience Needs: For online shoppers, convenience is often paramount. Insights on shipping expectations, easy returns, and quick customer support can drive conversions.

Price Sensitivity: Determines if the target audience prefers discounts, installment plans, or premium experiences.

Product-Specific Pain Points: Knowing pain points related to the product type (e.g., sizing issues in fashion or reliability in tech) allows the store to address these directly in product descriptions and support.

7. Influences & Motivations

Social Media Influences: Online shopping is highly influenced by social proof and recommendations from social media, making this a priority for building brand trust and generating conversions.

Motivations for Purchase: These include reasons like self-care, lifestyle enhancement, productivity, or gift-giving. Tailoring marketing messages to resonate with these motivations can increase sales.

Online Shopping STILL Kind of Sucks

Why hasn't online shopping gotten better?

The first blog post I wrote was “Online shopping kind of sucks” I am still saying that several years later. Yes, Stylaquin ROCKS. Yes, you should add it to your Shopify site. But WHY is it the only innovation aimed at women?

AI ain’t gonna do it

Honestly, the amount of time that is being spent on AI, and how AI is going to improve the shopping experience is insane. AI is, at its core, a predictive engine. There is no possible way you can show me exactly what I want, because I don’t know what I want. That’s why I’m shopping and not just buying. I’m going to pause here to give the men reading this a moment to throw back their heads and wail “See, they don’t even know what they want!”  Yes, EXACTLY! Showing me what you think I should want is going to be about as frustrating for me as trying to get YouTube to stop showing me heroic pet rescue videos after I watched JUST ONE. Alright, maybe more than one, but I do have other interests.

Let’s have a Steve Jobs moment

I don’t mean invent some amazing thing that will change the world. I mean look at what he wore. Jeans and a black turtleneck. EVERY DAY. Um, other than Elizabeth Holmes, women don’t typically have a one-and-done wardrobe. Websites are still focused on the speed aspects of shopping, getting shoppers in and out as quickly as possible. Which completely misses the point that women LIKE to shop. It’s a hobby, not a chore, we dig it—and do a lot of it. Most of it in fact. 

Women don’t love to shop because we find the exact right thing the minute we show up. I mean, sure, a good shopping moment is a victory shared with friends over coffee or wine, but without the hunt, where’s the fun? We love to shop because it’s fun to look at lots of nice things and think about how they would look. There’s a whole journey of discovery that isn’t being addressed. (By anyone other than Stylaquin that is.)

The foundational challenges

Online shopping sucks because it’s assuming that we are all looking for the thing we already know we want. If I want a navy blue, short-sleeved, 100% cotton tee-shirt—three clicks and I’m done. In real life, it’s just not that simple. What if I want the perfect top to go with the pants I know look good with the shoes I just bought; which have a sort of low heel so I can also wear them to work, and the top should probably also go to work on meeting days, but needs to work for date night too, if I go straight from work to the date? Now that requires some real thought. Men, if you just felt your face go numb, stop thinking that men are qualified to be in charge of women’s online shopping experience. This is who we are, and we do 87% of all online shopping. The female brain has evolved for over 300,000 years to be the finely honed instrument it is today. What you do with fantasy football, we do with shopping.

Stylaquin is a big step forward, but it’s not enough

I don’t want to diminish what Stylaquin does. Stylaquin shoppers stay 70% longer, view 185% more items, come back 3X more often and convert 3% more when they do. But Stylaquin can’t, or at least shouldn’t be, the only innovation aimed at improving online shopping for women.

AI is killing the traffic X conversions equation – boom!

What matters when it comes to web traffic?

So much of being successful online is a complex numbers game. Opening a new store on the web is like opening a store in one of the remote reaches of the planet, putting a sign on the door, and then expecting customers to show up—ain’t gonna happen. Without advertising, there is no way anyone will find you. There are some free sources of traffic, but SEO is a long game and you pay for “free” social media advertising with time. Advertising is the time-honored way to get eyeballs but it is expensive. So what matters?

Volume

Size matters. Sheer numbers work the way knocking on more doors worked a hundred years ago. Get more people to your website and you’ll get more sales. So the most simplistic form of the sales equation looks like this: Sales = Traffic X Conversion rate. If the conversion rate remains constant, then more traffic means more conversions.

Target Audience

If you want to increase the conversion rate, you need traffic that is likely to be interested in what you are selling. This is where advertising, SEO, and Social media all act as magnets to bring in the right customers. AI is changing how this all comes together. SEO is moving from keywords to content and engagement. Here’s a post on that if you want to understand why AI is going to destroy keyword search. AI determines which people will be interested in your wares, and it predicts this better than the experts can. Privacy is coming into play with AI, but we are so connected that, using AI, Google and Facebook know what you’re in the market for and what you’re going to be in the market for.

If you post that you are expecting a child on Facebook, you can also expect to see a sea of baby-related ads in your feed. Your friends can expect to see fun baby shower gifts in theirs. Grandparents will see ads for college savings programs and a new round of life insurance ads. AI, at its core, is just a predictive engine.

If humans can’t design a better campaign than AI can, we will all get the traffic we pay for. Think about it, if someone with no marketing chops can use AI to develop campaigns that beat the experts, there is no meaningful competitive advantage in audience selection. AI is the best and everyone can use AI. Done and dusted. 

Wait, what about Social Media?

It works, and it doesn’t. If you’re friends with Beyonce or Taylor Swift you’re all set. If you sell mass-market supplies or don’t love interacting with strangers, it will be a challenge. Social media gets eyeballs, but it doesn’t always convert. It can help you find and connect with your tribe. Those who are good at it are rewarded, those who aren’t good at it are frustrated. AI is probably going to impact social media soon, then it’s going to get weird. I mean what could go wrong with letting a predictive machine try to get people’s attention? (Hint: it gets racist and offensive pretty quickly.)

Customer experience

So, if we all have the same AI marketing genius design our campaigns, how are we going to impact our conversion rate so we don’t get killed by the competition?

  1. Sell products for a defined target customer that AI can identify.
  2. Create content that is interesting, relevant, and fresh.
  3. Focus on making websites that delight and engage shoppers.

Product copy is your secret weapon—here’s how to slay!

Nobody reads copy. (Psssst: Except when they buy.)

We are a society of scanners and clickers. We spend as little time as possible to get through as much as possible. The truth is that shoppers are busy people. Many mobile shoppers are killing time while commuting, or in a waiting room, or picking up kids or, or, or. You have just a few precious seconds to get their attention. 

So how much copy is ideal?

If your store is on a platform like Shopify, you have to think of  how much copy you need to effectively sell, and where that copy goes. You have two places to add copy, the product name and the product copy block. The product name is where you need the quick read most. “Women’s wide leg denim stretch crossover pant with hidden size zipper” is not going to get anyone’s attention fast. “Mardi Gras Pant” isn’t going to help with SEO. So you have to find a balance.

Start with the customer’s journey

What are your customers looking for? If they are looking for a staple they always buy, like me buying Allegro Italian Roast Whole Bean Coffee, they aren’t shopping, they’re buying. They just need to find the item and check out fast. If they aren’t sure what they want, then they need to be able to compare. If the item has a design component, the first sort is going to be visual. Most products have at least some design component. Can you answer any of your customers’ questions with pictures? Can you add callouts to make the pictures more of a quick read? 

If they still have interest, they read the copy

Take a moment to think about the last time you bought something without reading the copy. Didn’t happen right? We all read the copy before we buy and customers can be lost if they have concerns or questions that the copy doesn’t answer. How crazy is it to cut out product copy that will be read when the customer is weighing whether to buy or not? It’s pretty darn crazy my friends. Pretty darn crazy.

What purpose does copy serve?

Product copy serves three masters. The internet gods, the customer, and the FTC. The internet gods require that product copy contains keywords, lots and lots of keywords. The consumer requires that product copy contains the dream of ownership, the benefits of ownership, the features of the product, and the price. The final master is the Federal Trade Commission or whatever that body is called in whatever country your store lives in. The FTC requires the specifics, which are different for different types of products but typically include the content and country of origin for the product. 

The internet gods must be appeased

Think about what someone would type into Google if they were searching for your product online. Use those words in the product copy. AI is actually helpful for this and worth the chatGMP subscription. 

How to write good product copy with AI

in order to get good product copy you’ll need to tell the AI who your target customer is. Age, sex, education level, hobbies, and anything else you know about them. If you don’t know, give it your best guess. Then tell the AI that you would like it to act as the head of marketing for a company that sells what you sell. Feed it your customer information, and then ask it to write copy for the product that has at least 5 keywords. You can also have the AI make a list of keywords first and then have it write the copy using the ones you like the best. The more information you can give the AI about the product the better the result. 

Is AI copy as good as professionally crafted copy?

No. A professional copywriter will think about the hierarchy of information, the aspirational opportunities, the cultural tie-ins, and more. AI is a great starting point and most professional copywriters are using it to do some of the heavy lifting. AI is a time saver, but there’s an art and craft to copy that AI may never master. 

The future of online shopping is actually easy

Whatever is easy to do...

A year or two after the iPhone came out on 2007 everything was abuzz with the sound of people predicting the demise of desktops. I was at a CEO roundtable when several really smart people postulated that we were going to have to immediately shift all of e-commerce to mobile, based on the adoption of Gen-X. The pivot was coming, but the timing and the demographic that triggered it was a ways off. Predicting the future of e-commerce based on usage by one demographic without sufficient context is like pointing to data on how many shoppers under sixteen rode bikes and predicting the demise of cars. The first demographic shift to iPhones was younger shoppers, but as mobile got easier, everyone started shopping on mobile. Seventeen years later, mobile has taken the lead. That isn’t bringing about the demise of desktops though. People shop on mobile, but they still buy more on desktop. Why? Desktop is a better buying experience, and grownups don’t have to pick one or the other. Shop on the commute, buy on a break. Waiting for a meeting to start, check out the sales and buy at lunch. Flash sales get more mobile adoption because they are time limited. You can’t force customers to shop a particular way, but you can get more sales by creating a better shopping experience. 

In the future we will choose to do what’s easy. Period.

Younger shoppers embraced mobile before their elders for lots of reasons:

  • They couldn’t afford their own computers
  • They were concerned about parents snooping and they had more control over their mobile device
  • They developed the dexterity to master mobile at an age when learning new things is a snap. 
  • iPhones were cool
  • Their friends were doing it
  • It was cheaper to buy kids a phone than a computer

Once Gen-X got jobs, they bought desktops and laptops. They still do everything on a phone, but it’s often easier to do things with a big screen, so they use both.

Is AI going to make online shopping easier?

AI is great, and it’s going to revolutionize our lives in many ways. Not to be Debbie Downer but—AI is just a predictive algorithm. It looks at what most people will do/say/choose next, and meshes that with any known preferences, to come up with a really good guess. That’s an oversimplification, but it’s the gist of things.* Apple is betting on AI goggles. Asking shoppers to wear AI goggles to get a better shopping experience is a huge ask. What’s being offered by that experience that will be better than going to a store? 

  • Is it faster? Do I need to go fast?
  • Is it more fun? What makes it more fun?
  • What problem is it solving? Do I have that problem?
  • Is it cool? Hard to look cool in goggles…

AI can help with predicting choices for making ensembles, and adding the mythical one more item to the cart. But does being shown lots of options make a better experience? Let’s outline the improved experience: “Hey shopper! We think you might like this, or this, or this, or this. Would you be interested in this, or this, or this?” It get’s old. Not quite as bad as getting spritzed with perfume at the entrance, but not awesome. Do you want to explore while you’re shopping, or do you want to hone in on the thing you’re looking for? These are two very different experiences. I’m going to predict that AI is going to influence the journey eventually, but I don’t see it as the holy grail of e-commerce anytime soon.

Here’s something to ponder—is it better to predict what online shoppers may like and try to serve it to them, or is it better to just make it more fun to explore on their own? Every now and then I need to take a break and giggle. I asked ChatGPT to act as the Chief Marketing Officer for a major pharmaceutical company. Then I asked it to come up with five options for a new anti-diarrheal drug. Here’s how it went.

  • EaseFlow: Conveys the idea of easing into a more regular and controlled bowel movement, highlighting comfort and ease.

Not sure I’d have used “flow”, and settle tone sounds more like something to calm your dog, but honestly, I’ve heard worse.
